Tips for Making Your Office Move Successful

Moving to a new office can be very exciting for a business. You’ll get to set up in a new space, possibly even one that’s larger than where you currently are. It’s a big step for a business and one that you’re probably feeling very positive about. Of course, moving often comes with challenges as well.


Here are some tips for an office move that will make the process easier, less stressful, and more straightforward for everyone involved.


Preparing for the Move


Once you’ve decided to move, you’ll want to start letting your team know so they can prepare. This is a great time to get feedback from employees regarding what they’d like to see in the new office.


You’ll also want to start making a plan and a schedule for when you’re packing up parts of the old office, what is moving when, and everything else.


One of the key things you’ll want to do is ensure that all important documents not only get moved to your new location, but that you know where they are throughout the entire move. This includes things like insurance papers, contracts, agreements, and anything else that’s vital to your business. You don’t want to pack these away and not be able to find them when you need them.


Correspond with Everyone


One of the most important parts of a successful office move is ensuring that everyone is informed and in the loop. Not only do all employees need to know, of course, but so will your vendors, suppliers, contractors, and customers.


Make sure all relevant parties know the key dates of your move. You don’t want someone showing up at your old office once you’re gone or arriving at your new office before you’re there.


Items Being Moved


Not only do you need to know what is being moved and when it’s being moved, you’ll need to make sure you know where it goes in the new office. Label everything you pack, listing the contents on the side of each box along with its destination. For larger items that aren’t being packed in boxes, tape signs or labels to them so everything is clear.


You may not be taking everything with you. If there are items that you’ve decided to leave behind, think about whether they need to be replaced once you’re in the new office or if you’re deciding to go without.


Garbage


There’s a good chance you’ll have a lot of garbage as you move offices. You may want to arrange for a disposal unit to come to your building. Remember, the more you throw away, the less you have to move and the less clutter you’ll have in the new office.


Make sure that any documents you’re leaving behind are shredded or disposed of properly to prevent confidential or sensitive information from leaking.


Access


When moving an office, don’t forget about ensuring that your team has access to everywhere they need to be on moving day. You don’t want to end up packing everything up, loading it on a truck, and moving it to your new office only to find out that you can’t get into the elevator or the rooms you’re planning on moving everything into.


Before you move, ensure that key team members and the moving team all have access to everywhere they’ll need to be.


Follow a Checklist 


The number one tip for moving is to be organized. Make a checklist of everything you need to do with dates and deadlines listed beside items. As you accomplish tasks, check them off. This not only keeps you on target, but it also helps you and your team stay motivated.
